GravityOps Workflow Step Runner

GravityOps Workflow Step Runner is a premium-only GravityOps tool for temporarily routing selected Gravity Forms entries through a Gravity Flow workflow step.

What It Adds #

  • A GravityOps admin screen for selecting a form.
  • A per-form Workflow Step Runner tab under Form Settings, scoped to that form (the form selector is skipped).
  • Entry selection from the newest active entries, plus manual entry ID input for older entries.
  • A temporary Gravity Flow step selector.
  • Completion routing options to restore the captured workflow state, route to another step, continue with Gravity Flow’s default next step, or set a final workflow status.
  • Timeline notes that document temporary routing and restoration.

Where To Find It #

The runner is available in two places, with identical behavior:

  • GravityOps dashboard → Workflow Step Runner — pick a form first, then choose entries and routing.
  • Form Settings → Workflow Step Runner (on an individual form) — the form is already selected, so you go straight to choosing entries and routing.

This documentation is also available in your dashboard under the Docs tab of the GravityOps Workflow Step Runner page.

Setup #

  1. Confirm Gravity Forms and Gravity Flow are active.
  2. Open GravityOps Workflow Step Runner from the GravityOps dashboard, or open the Workflow Step Runner tab under a form’s Form Settings.
  3. If you opened the dashboard screen, select a form with Gravity Flow steps.
  4. Choose entries to send through the temporary step.
  5. Select the temporary step and the desired after-completion behavior.
  6. Run the step.

Filters #

  • gops_wsr_entries_page_size — Number of active entries shown in the selectable entries table. Default 50. Older entries can still be targeted with the comma-separated Entry IDs box.
  • gops_wsr_entries_batch_size — Number of entries fetched per query while building the entries table. Default 100. Lower it on memory-constrained sites.

Notes #

  • “Return each entry to its previous workflow state” reconstructs Gravity Flow entry meta (current step, step statuses, assignee state, final status) from a snapshot captured before the temporary step. Custom step types that persist state outside Gravity Flow’s workflow_-prefixed entry meta may not fully restore.
