Custom fields in Asana give you the flexibility to track exactly what matters for your projects — and when combined with Asana rules, they can become a powerful automation tool. You can set up rules so that specific actions run depending on the value of a custom field. For example:

  • Use a custom field to signal that Rule X should run for certain submissions.
  • Trigger Rule Y for a different set of submissions.
  • Ensure Rule Z always runs for any form submission.

With rules like this, you can automate complex workflows and create highly targeted automations based on Gravity Forms data.

Which Custom Fields Can Be Mapped?

Not all Asana custom fields can be mapped.

  • Read-only fields like ID and calculation fields cannot be mapped. These are locked in Asana and the integration will skip them.
  • All other current field types can be mapped.
  • The upcoming reference custom field type isn’t supported yet — we’ll evaluate it when it’s released.

Loading Custom Fields in the Plugin

When you click Show Custom Fields at the bottom of the settings page, the page reloads to retrieve every custom field you have access to.
For each project you select, a new section will appear with all the custom fields available for that project.

Mapping by Field Type

Single Select Fields

You have two mapping options:

  1. Map to a fixed Asana value – Every task created will have this option selected in Asana.
  2. Map from a form’s single select field – Match each Asana option to a corresponding Gravity Forms option. When a form entry is submitted, the Asana field will be set to the matching option.

Multi Select Fields

Multi select mapping works the same way as single select mapping, except that multiple options can be selected. You can map from Gravity Forms multi select fields so that multiple selections from the form are reflected in Asana.

Custom Date Fields

Custom date fields in Asana can be mapped from Gravity Forms date fields so that the mapped dates are stored in the corresponding Asana custom date field.

People Fields

People fields in Asana behave like the Assignee and Collaborators dropdowns. Mapping for these fields is planned, just like assignee/collaborator mapping — neither is implemented yet.

Text and Number Fields

Text and number fields can also be mapped from form fields.


A tooltip next to each field will remind you what type of Asana custom field it is, so you can map the correct data type.

If the field mapping doesn’t match the expected type, the plugin will try to handle it (usually by ignoring the mismatched field) — but unexpected results may occur.
