Bulk Dispatch, Not Manual Clicks

Select many entries at once and dispatch them all through a workflow step in a single action. Skips the manual click-through-each-entry work you’d otherwise do in wp-admin.

Full State Restoration

Every dispatched entry has its full workflow state captured first — current step, per-step statuses, assignees, final status. After the temporary step completes, restore that state exactly. No half-broken workflows.

Six Routing Modes

After the temporary step, route each entry: back to its original state, on to a different step, continuing Gravity Flow’s default routing, or finalized as complete, rejected, or cancelled. One choice per batch.

Timeline Notes For Every Action

Every dispatch, restore, and finalization writes a note to the Gravity Flow timeline for that entry. Full audit trail of what the tool did and when — same place Gravity Flow logs its own actions.

Move Entries Through Workflow Steps On Demand

The Runner exposes two entry points: a central GravityOps dashboard screen where you pick a form first, and a per-form tab under each form’s Form Settings. Both surface the same table, the same six routing modes, and the same timeline note trail — so you can run one entry through a review step or thousands through a fix step, all from the same tool.

How It Works

Run Your First Workflow Dispatch in 3 Steps

1

Install

Install and activate the plugin from Freemius alongside Gravity Forms and Gravity Flow. License key is auto-applied via the SDK.

2

Configure

Open the Workflow Step Runner screen from the GravityOps admin menu, or open the Runner tab under a specific form’s Form Settings.

3

Test and Launch

Select entries, pick a temporary workflow step, choose what happens after the step completes, and run. Watch the results in each entry’s timeline.

6 Features That Make Workflow Dispatch Safe

Central Dashboard And Per-Form UI

The Runner appears twice: as a central GravityOps dashboard screen where you pick a form first, and as a Workflow Step Runner tab under each form’s Form Settings. Identical behavior in both places.

Six After-Completion Routing Modes

Restore each entry to its previous workflow state, send it to a different step, continue Gravity Flow’s default routing, or finalize the workflow as complete, rejected, or cancelled. One decision per batch.

Exact-State Workflow Snapshot And Restore

Before dispatch, the plugin captures every workflow-related meta field on the entry: current step, per-step statuses, assignee state, final status. Restore returns the entry to that exact captured state.

Bulk Entry Selection With Preview Columns

The entries table shows active entries with configurable preview columns so you can identify what you’re routing before you commit. Checkbox-select the ones you want.

Manual Entry-ID Paste For Older Entries

For entries older than what the table shows by default, paste a comma- or space-separated list of entry IDs. Combined with checkbox selection if you want. Dispatch runs on the union of both.

Notification Suppression And Timeline Notes

The plugin suppresses Gravity Flow’s spurious workflow_complete notification during dispatch and restore, and writes descriptive timeline notes for every dispatch, restore, and finalization. No stray emails, full audit trail.

Frequently Asked Questions

If you need to dispatch Gravity Forms entries through a specific Gravity Flow step — as a one-time fix, a routine batch, or an ongoing operational tool — Workflow Step Runner is built for you. Got questions? You may find the answers here.

Yes — Gravity Flow is a required dependency. The plugin builds directly on Gravity Flow’s step engine, status meta, timeline, and step-processing hooks. Any Gravity Flow step type that runs unattended (approval, notification, feed, workflow_complete, custom step types) works as a target for dispatch.

Yes. It’s built as a Gravity Forms add-on and supports core GF features (conditional logic, merge tags, etc.).

Yes. Start a free trial by entering payment details—you won’t be charged until the trial ends. You can cancel anytime and opt in to a reminder before it converts to a paid plan. See our pricing section above.

The dispatch places the entry directly on the temporary step, so this can’t happen for the dispatched entry itself. If a routing rule elsewhere in the flow would ordinarily skip that step, the Runner still executes it because you selected the entry for it explicitly. After the temporary step completes, your chosen routing mode determines whether the entry snaps back to its previous state, continues default routing, or finalizes.
