# Asana Task Settings Reference

This guide explains the core settings for configuring Asana task creation.

---

### Task Name

- Defines the title of the Asana task.
- Supports Gravity Forms merge tags such as `{Name (First):6.3}`, `{form_title}`, or `` for dynamic content.
- Example: `New Submission from {Name (First):6.3}` uses the first name submitted in the form, in the task title.

---

### Create As (Premium and Agency)

- Chooses whether the feed creates a regular **Task** or a **Milestone**. Tasks are the default, and feeds saved before this setting existed keep creating tasks.
- A milestone marks a single moment in time. It holds everything a task holds—description, due date, assignee, tags, collaborators, sections, custom fields and attachments—and only differs in how Asana displays it.
- The one thing a milestone cannot have is a **start date**. The feed never sets one, so this only matters if you later convert a task that already has a start date: Asana accepts the conversion and drops the start date rather than refusing it (see the Update Task workflow step).
- Since each feed picks its own type, one form can create tasks while another creates milestones. Combined with conditional logic, a single form can do both—add one feed per outcome and give each its own condition.
- The setting is available on the Premium and Agency plans. On the free and Pro plans no selector is shown and feeds create regular tasks. If a Premium license lapses, a feed set to Milestone quietly goes back to creating tasks; the setting is remembered and takes effect again when the license is restored.
- "Task Creation Failed" backup tasks are always created as regular tasks, whatever the feed is set to.

---

### Workspace (Premium Only)

- Lets you choose which Asana workspace the task is created in when your connected account belongs to more than one workspace.
- The **Project(s)**, **Assignee(s)**, **Tag(s)**, and **Collaborator(s)** options below all come from the selected workspace.
- Changing the workspace reloads the page so those dropdowns refresh to match the new workspace. Any selections made for the previous workspace will need to be re-selected.
- On the free version the plugin uses the connected account's first workspace automatically (no selector is shown). The selector is available on every premium plan.

---

### Due Date Options

- **Relative**: Set relative to the form submission (e.g., `+3 days` for three days after submission).
- **Mapped from Entry**: Pulls a date directly from a form field—like a project deadline captured in the form. Can be relative as well.
- **Fixed Date**: Every task is assigned the same static date (e.g., `2025-12-31`).
- **None**: No due date is assigned.

---

### Assignees

- Only users visible to the connected OAuth user will show up in the dropdown.
- Supports multiple selections; each selected person gets their own copy of the task.
- Optional. Leave it empty and the feed creates a single unassigned task—useful for milestones, which often have no owner, and for triage projects where someone picks the work up later. Asana does not require an assignee on a task either.

---

### Sections (Premium Only)

- Organize tasks within specific Asana project sections.
- Only one section per project can be assigned.
- Clicking the checkbox to show sections will reload the page to retrieve the necessary data.

---

### Projects

- Displays only the projects that the connected user has access to.
- Supports multi-project assignments for a single task.
- If you enable "Show Sections" or "Show Custom Fields," the project selector becomes a regular multi-select (losing the enhanced multi-select UI).

---

### Description

- Rich-text supported, including merge tags (e.g., `{comments:4}`, `19/10/2026`).
- Some complex formatting may not render properly—see the tooltip in settings for limitations.
- On a **Notification Sent** or **Notification Failure** feed, the `{notification:...}` tags add the rendered subject, body and send status of the notification that fired the feed.

---

### Description Format

- **Rich text (HTML)** *(default)* — renders the supported HTML tags. The markup is auto-corrected before sending, so malformed/unbalanced tags won’t break task creation.
- **Plain text** — sends the description as plain text, showing angle brackets as literal characters. Choose this when the description may contain code or AI-generated content (e.g., a code review) so tags like `<strong>` appear as text instead of being interpreted as formatting.

---

### Tags & Collaborators

- Only available items that the connected OAuth user can access will be displayed.
- Multi-select lists let you add tags for organization and collaborators for additional team visibility.

---

### Custom Field Mapping (Premium Only)

- Tap into Asana’s custom field capabilities to map form fields directly.
- Learn how in detail on the dedicated page: **Mapping Custom Fields**.

---

### File Uploads (Premium Only)

- Attaches files uploaded through Gravity Forms directly to Asana tasks—great for including documents, images, signed forms, or any attachment with the task.
- The setting will only be displayed if the form has a file uploads field.
